User Guide/Users & Access

User Roles & Access Permissions

Axlar uses role-based access control to give workshop staff the parts of the platform needed for their responsibilities. Role permissions are currently defined by Axlar; they are not fully custom per-user permissions.

Which role should be used?

  • OWNER — Business owner and top-level tenant authority.
  • ADMIN — System or business administrator managing configuration, users and overall operations.
  • MANAGER — Workshop or operations manager supervising jobs, technicians, estimates, inventory and operational or financial workflow.
  • SERVICE_ADVISOR — Front-desk and service-reception user handling customers, vehicles, appointments, service workflow, estimates, customer communication and payment recording.
  • TECHNICIAN — Workshop technician working primarily on assigned jobs, inspections, repair progress, media and work notes.
  • CASHIER — Billing and payment user focused on invoices, balances and payment collection.

Where a workshop might informally use the word supervisor, the Axlar role is MANAGER; there is no separate supervisor role in this access model.

OWNER

OWNER is the highest business-level role for the tenant and has full tenant-level access. This includes the Dashboard, customers, vehicles, appointments, Job Cards, technician assignment, inspections, findings, estimates, estimate pricing, available tax and discount controls, estimate submission and sharing, customer approvals, repair execution, inventory, purchases, invoices, available standalone invoices or quotes, payments, delivery, reports, branch management, users, roles and permissions, and settings.

ADMIN

ADMIN has effectively full administrative and operational access. This includes the Dashboard, customers, vehicles, appointments, Job Cards, technician assignment, inspections, estimates, repair execution, inventory, purchases, invoices, payments, delivery, reports, branches, user administration, settings and exposed permissions or configuration. No artificial restriction is assumed between OWNER and ADMIN beyond controls implemented by Axlar.

MANAGER

MANAGER is the senior operational role. It covers the Dashboard, customers, vehicles, appointments, Job Cards, technician assignment, inspections, findings review, estimates, commercial review, estimate sharing, repair execution, work progress, inventory, permitted purchases, invoices, permitted payment workflow, delivery, operational reporting and management-appropriate financial views. MANAGER is not documented as having full tenant or user administration unless Axlar exposes that permission.

Estimate editing rules for MANAGER

  • Draft: can be edited.
  • Sent / Awaiting Approval: can be edited, but the existing approval link or approval state must be invalidated and the estimate must be re-sent.
  • Approved: must not be modified directly. Use the supported revision or additional-work flow.
  • Declined or Cancelled: should normally remain read-only.

SERVICE_ADVISOR

SERVICE_ADVISOR is the front-desk and customer-facing operational role. It includes the Dashboard, customers, vehicles, customer lookup, appointments, Job Cards, customer-facing workflow, inspection and estimate visibility needed for service reception, estimates, estimate sharing, customer approvals, invoices, payment recording and permitted delivery workflow.

SERVICE_ADVISOR can record payments. It does not include refund or credit-note administration unless separately implemented, accounting administration, tenant or user administration, or unrestricted system settings.

TECHNICIAN

TECHNICIAN access is focused on assigned workshop work: assigned jobs and Job Cards, inspections and findings, media or attachments for assigned work, repair lines, work progress, work notes, relevant job-status updates, and estimate-line suggestions where the estimates.propose_line permission is used.

A technician can contribute operational information and propose work, but commercial approval, pricing, invoicing and payment activities remain outside the role. TECHNICIAN cannot control estimate pricing, tax or discounts; submit, share, send or approve estimates; access invoice functions directly; create invoices; record payments; access financial reports; adjust stock; manage users or branches; or access administrative settings. Direct access to the invoice route is blocked for this role.

CASHIER

CASHIER is focused on financial transaction handling. It includes customer lookup, vehicle or job reference required for billing, invoices, permitted standalone invoices, payment recording, outstanding-balance and payment-status viewing, and delivery where current commercial checks allow it.

CASHIER does not receive inspection editing, repair management, estimate pricing control unless specifically implemented, technician management, inventory adjustment, user management, branch administration or system settings.
